Position General Responsibilities:

This position provides administrative, secretarial and loan support primarily to the President-North Central Montana ("Pres-NCMT").

Basic Qualifications:

+ High School diploma or equivalency.

+ Three or more years of financial institution experience or training; or equivalent combination of education and experience.

+ Strong commitment to providing exceptional customer service.

+ Strong communication and organizational skills.

+ Must be able to work independently and to prioritize multiple tasks.

+ Good interpersonal/team skills with ability to develop effective working relationships.

+ Previous personal/computer experience.


+ Strong knowledge of banking terminology.

+ Experience with Microsoft Word, Excel, Outlook, etc.

Dimension of Job:

This position will provide full administrative support to the President-North Central Montana ("Pres-NCMT").

Position Specific Responsibilities, Duties and Competencies

Marketing and Promotion Support:

+ Keep Pres-NCMT informed of current calendar of events in Great Falls and other north central markets.

+ Work with Great Falls Branch Managers and Marketing Department to coordinate and track the various events that are being sponsored.

+ Keep an ongoing record of marketing materials, activities, events and costs for the Great Falls market.

+ Assist with special projects in the Great Falls area.

Lending and Customer Service Support:

+ Gain and maintain familiarity with all customers (specific to Pres-NCMT).

+ Schedule appointments for customers.

+ Prepare and process any loan advance requests.

+ Process loan payments.

+ Prepare a new amortization schedule as needed.

+ Prepare any general file maintenance request.

+ Prepare and file all comment sheets.

+ Maintain files.

+ Process documents (limited/ basic type work): Credit Bureau reports, insurance binders, flood certification, lien searches, Business Entity search (good standing), reconveyances, partial satisfactions, filing UCC's, continuance

+ of UCC's, terminating UCC's, liquor license filings, and other documents that need processing.

+ Prepare a checklist to ensure we receive the proper documentation back on loans.

+ Follow-up on documentation making sure that it has been returned and is in the file.

+ Monitor the tickler system.

General Administrative Support Daily:

+ Pull daily reports as needed for monitoring.

+ Prepare correspondence, memos, documents and reports utilizing Word, Excel spreadsheets and databases.

+ Photocopy and fax documents as needed.

+ Handle confidential and non-routine information.

+ Filing and organizing daily, monthly and weekly reports.

+ Other duties as assigned.

+ Maintain Loan policy/credit memo/compliance files.

Position Specific Responsibilities, Duties and Competencies continued

General Administrative Support Weekly:

+ Receive, print and distribute all loan committee information for the President-North Central Montana.

+ Back-up Loan Committee Secretary for Great Falls and North Central loan committee.

General Administrative Support Monthly:

+ Attendance/PTO calendars for North Central Managers.

+ Prepare and distribute Credit Life reports for the North Central Market.

+ Monthly North Central Market Rate Survey. Collect current rates from competitors in the markets, prepare comparison spreadsheet and send to Branch Presidents. Send in rate changes as requested. Update rate sheet and make sure current rates are in place. Assist personnel in the branches with new customer rate sheets. Assist Pres-NCMT with the monthly Pricing Committee meetings. Distribute individual branches information they have gathered for the meeting to all members. Notify members of meeting dates and prepare minutes from the meetings.

+ Prepare monthly monitoring reports for all lender in the North Central Markets.

General Administrative Support As Needed:

+ Occasional typing, copying and printing documents.

+ Send in donation requests for payment to the Accounting Department.

+ Back-up duties for other assistants.

+ Remind "Pres-NCMT" of appointments: make arrangement for lodging if necessary.

+ Assist Marketing Department when needed.

+ Typing comments/minutes etc. from Dictaphone.

+ Gather and prepare information for "Pres-NCMT's" loans for loan committee.

+ Miscellaneous research.

+ Make/return phone calls for "Pres-NCMT" as needed.

Public Relations:

+ Promote the improvement of Stockman Bank through quality customer service, promotion of products, professionalism in conduct and diligent work ethic.

+ Greet all customers pleasantly and make them feel welcome and comfortable.

+ Handle transactions quickly and professionally.

+ Effectively handle customer questions and problems.

Federal Regulations:

Maintain a working knowledge of Bank's written policies and procedures that apply to and concern this position's area of responsibility, including general regulations such as the Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and various other Federal and State regulations as they apply.
